We’re a small but fast-growing graphic design and creative agency seeking a highly organized Agency Project Manager to join our team. This position is located in our downtown Winston-Salem, NC office. 

The Agency Project Manager’s main, high-level function will be to manage the workflows of client-facing work and deliverables effectively.

Our ideal candidate is a self-motivated and exceptionally organized project manager that enjoys assessing situations, improving processes, and bringing new ideas to the table. This role will focus on three main points:


Manage all deadlines for client deliverables. Ensure agreed-upon deadlines are met while managing expectations for incoming new work, which may include requesting client extensions or re-assigning work internally. 


The Agency Project Manager will use The Grove’s internal project management software to ensure that all client requests are entered and deadlines are up to date. The Agency Project Manager will work closely with the Creative Director to assign work to the most appropriate designers based on skill and familiarity with the project.


The Agency Project Manager will conduct status meetings to go over all jobs in production with both the creative team and business development. This responsibility includes checking in on a project’s status to ensure nothing has fallen through the cracks and that things are moving smoothly.

The Agency Project/Traffic Manager will be responsible for:

  • Project Management
    • Manage all components of projects in project management software (Intervals)
    • Interpret incoming client requests for deadlines and scope, gather more information from clients if none is stated
    • Entering client requests into our internal project management system (Intervals)
    • Daily creative team and dev team check-ins
    • Report on project hours mid-way through projects and upon project completion
    • Manage SOWs, keep track of scope creep, rounds of revisions, etc.
    • Pulling monthly invoicing reports for billing
    • Work with the creative team to determine when a project is ready for final billing and communicate to appropriate parties
    • Provide reporting for clients on agency usage, when requested
    • Create post-project reporting for management
  • Traffic Management
    • Assist creative director in assigning work to the appropriate designers, developers, or copywriters based on previous data, like utilization on similar projects
    • Work directly with the creative director to manage all project timelines from start to finish – updating as necessary
    • Evaluate overall request volume from each client and evaluate feasibility based on active project volume and timelines
    • Establish a weekly priority list with clients
    • Review budget spending with account managers to get client approval 
    • Monitor tracked time and utilization rates
  • Other Operational Responsibilities, as needed
    • Reporting to management
    • Manage client gift and agency promotional items
    • Assist with planning company outings
    • Managing day-to-day office operational tasks (i.e. mail, office supplies, managing client OOP expenses, etc)

Key Requirements: 

  • 2+ years of dedicated project management experience in a service-based industry 
  • Expert organizational skills including managing deadlines, tasks, deliverables, timelines and workflows
  • Strong ability to multitask
  • Outstanding communication skills
  • Experience with project management software is required
  • Knowledge of project management processes, workflow, and terminology
  • Ability to function well in a fast-paced (sometimes chaotic) environment under tight deadlines
  • Excellent time management and prioritization skills
  • Ability to maintain professionalism and composure under pressure 
  • A pragmatic approach to problem-solving
  • Adaptability to new situations
  • Exceptional in communication and organizational skills
